OVERVIEW

The Integrated Credit Ecosystem (ICE) is a comprehensive internal risk management platform developed for bababos, a supply platform provider that serves SME manufacturers with raw materials. The platform was created to effectively manage credit risks and streamline the end-to-end credit journey process.

Working with Gearheart team is a wonderful and blessing journey for us. Not only because of their great skills but also Gearheart accountabilities and sense of ownership of the project. They always strive to deliver the project (and progress) on time. They also go the extra mile to understand more about the project and give suggestions or feedback to make the web/app better. As Gearheart put their heart to the project, it feels like we're not working with some vendor, but with an internal team.

HOW THE PRODUCT MEETS A CLIENT'S NEED

As a managed marketplace, bababos provides buyers with flexible payment terms of up to 90 days based on credit assessment results. While this approach offers significant value to customers, it also brings inherent credit and operational risks that must be managed carefully. As a result, the company required a robust system to oversee credit underwriting, monitor transactions, and handle collections.

Another key client, SmartSuite, released a YouTube video where they discussed their journey with the platform and expressed both appreciation and recognition for our work. bababos’ CEO — a fan of Airtable, SmartSuite’s main competitor — watched the video and realized Gearheart can make comparable product with much fewer resources, and this give the CEO comfort that Gearheart must be really good at what it does. So, he reached out to us for assistance. After several months of refining the requirements and finalizing the initial scope, we began our engagement in the summer of 2023.

CHALLENGES AND SOLUTION

bababos faced several key challenges in managing their credit operations:

  • Need for robust credit risk assessment and monitoring
  • Complex payment term management for buyers
  • Manual tracking of late fees and payment statuses
  • Limited visibility into customer payment behaviors
  • Disconnected credit approval workflows

Our team started this project from scratch, leveraging our expertise to develop a robust solution tailored to the evolving demands of the financial sector. Our development process spanned both frontend and backend systems, ensuring a seamless user experience while supporting complex data processing with a powerful infrastructure.

The frontend features user-centric interfaces that simplify navigation and boost engagement, while the backend is built on a strong framework that ensures both scalability and security. This approach enables us to deliver a product that not only meets industry risk management standards but also exceeds them.

Through ICE, our goal is to empower financial institutions with the tools they need to make informed decisions, streamline operations, and ultimately strengthen their financial health.

  • Document management for credit applications

Seamless integration with the CLIK credit bureau enables immediate access to essential credit information. This real-time data is critical for accurate risk evaluation, helping institutions make informed lending decisions. By verifying a borrower’s credit history on-the-fly, this feature minimizes the potential for defaults and helps in maintaining the overall health of the loan portfolio.

3. COLLECTION MANAGEMENT 

  • Collection activity tracking and management.
    This feature allows organizations to monitor all collection activities in real-time, ensuring that every interaction with customers is recorded and analyzed.
  • Restructuring and waiver request handling.
    Efficient handling of restructuring and waiver requests is crucial in assisting customers facing financial difficulties. By providing a streamlined process for these requests, institutions can potentially retain clients and improve recovery outcomes. 
  • Late fee management.
    Effective management of late fees is key to promoting timely payments while preserving customer satisfaction. This feature automates the calculation and application of late fees, minimizing manual errors and ensuring consistency. 
  • Payment tracking and reconciliation.
    This feature streamlines payment tracking and ensures precise reconciliation with accounts receivable. By automating the process, institutions can quickly detect discrepancies and take prompt action to prevent revenue losses. 
  • Collection performance dashboard.
    The collection performance dashboard offers an overview of key metrics and indicators related to the collections process. By analyzing this data, organizations can identify trends, fine-tune strategies, and make informed decisions.

5. SYSTEM INTEGRATION

  • Seamless integration with Odoo ERP.
    Integrating with Odoo ERP enables organizations to synchronize data across different business functions. This seamless integration allows for accurate and up-to-date information flow among departments, such as sales, finance, and customer service. 
  • Credit bureau (CLIK) API integration.
    The integration of the CLIK credit bureau API provides instant access to credit reports and scores. This feature allows for real-time credit assessments, improving risk management and reducing exposure to defaults. By automating the retrieval of credit data, institutions can enhance their operational speed and accuracy, leading to quicker approvals and a smoother customer experience.
  • Google Workspace integration for notifications.
    Integrating Google Workspace facilitates efficient communication and collaboration within the organization. This feature allows for automated notifications regarding critical events, such as payment reminders or updates on credit requests, directly to relevant team members.

6. AI AUTOMATION

This feature empowers users to interact with the system using natural language prompts to analyze financial data. By allowing users to describe their analysis requirements, the AI simulates the role of a financial analyst, providing a full analysis of documents such as bank statements with methodical precision.

The feature is composed of three main components:

  • Prompt Editor: This is where you define the specific analysis you want the AI to perform.
  • Run Automation: In this section, you execute the analysis by uploading the relevant financial document—such as a bank statement—which the AI then processes.
  • Result Database: This component stores the analysis output, making it easily accessible for review and further use. The insights and metrics derived from the output help inform financial decisions, prepare reports, and support additional analyses.

7. ANALYTICS & REPORTING

TECHNOLOGY

The system was built as a web application with:

Under the hood are React, Mantine, Node.js, Pothos, GraphQL, Prisma, Postgres.

RESULTS

We’ve created an internal tool to help bababos mitigate credit, transaction and operational risks. By implementing this tool, we aimed to enhance risk management capabilities and protect our client from financial and operational vulnerabilities.

ICE has enabled bababos to:
